Record source, segment, journey moment, verbatim note, and confidence. Keep requests, complaints, praise, and friction distinguishable.
Prioritize themes
Consider affected customers, business relevance, urgency, frequency, and confidence. A rare severe issue can outrank a common annoyance.
Close the loop
Assign an investigation or response and track the decision. Do not promise a change from an unconfirmed theme.
Keep evidence intact
Preserve the original context, then tag themes without turning one comment into several votes. Note whether feedback was volunteered, prompted, repeated, or inferred. A rare severe failure can outrank a common annoyance.
Turn themes into decisions
For each theme record segment, evidence count, confidence, possible cause, and smallest next investigation. Assign an owner and date. Record the decision internally, but do not promise a customer change before approval. Apply customer feedback triage to a fresh sample by separating the customer statement, observed pattern, and proposed response. Tag each item with segment, urgency, and evidence strength so a loud request does not automatically become the roadmap.
Review grouped themes with the responsible product or service owner. Close the loop on one selected item, record the decision and rationale, and preserve dissenting feedback for the next review cycle.
