CRM Duplicate Record Review Process

By BusinessGrowthAssistant Editorial Team••1 min read

Duplicate CRM records split context across owners and make pipeline reports harder to trust. A careful review uses evidence and a reversible process before any merge changes history.

Find likely matches

Compare normalized email, company domain, phone number, and name. Treat a match as a review signal, not proof. Shared domains and common names need additional evidence from activity and ownership.

Choose the surviving record

Keep the record with the most complete and current identity data. Before merging, list notes, tasks, stage history, and attachments that must remain accessible. Ask the record owner when the evidence is unclear.

Merge in controlled batches

Handle a small batch, export or log the before state, and confirm the result. Do not merge records merely to improve a dashboard number. Follow the CRM hygiene checklist after the batch.

Prevent repeat duplicates

Use consistent creation rules, required fields, and a weekly exception report. A short prevention step is usually safer than another broad merge. The goal is one trustworthy customer history, not a perfect-looking database.
