Qualification should make follow-up clearer, not create a maze of fields. A small team can qualify consistently by checking fit, need, timing, and the next agreed action.
Define fit
Write down the customer characteristics that make the service relevant. Use observable signals such as team size, workflow complexity, or the presence of a specific operational problem. Keep the list short enough to apply during a normal review.
Confirm the problem
Capture the problem in the prospect's own terms and record its effect on work. A form submission alone is not qualification. The note should explain what the team is trying to improve and why it matters now.
Set the next action
Every qualified lead needs an owner, next action, and date. Use CRM stages consistently, as described in the CRM stage definitions guide. If information is missing, make the follow-up request explicit instead of guessing.
Review the queue
Once a day, sort by overdue next action and business fit. Close records that are clearly irrelevant, and keep a reason for the decision. This creates cleaner reporting and gives the team a better starting point for tomorrow's work.
