How to Build Lead Routing Rules by Source

By BusinessGrowthAssistant Editorial Team••1 min read

Use source, segment, territory, product interest, urgency, and relationship owner as routing inputs. Keep rules mutually exclusive and give ambiguous records a review queue.

Test exceptions

Walk through a referral without a territory, a returning customer, and a duplicate contact. Document the fallback owner instead of letting records disappear.

Audit the queue

Sample routed leads weekly, correct obvious assignments, and report patterns. Route changes that affect sales strategy to the responsible lead.

Order rules from specific to general

A returning customer with an existing owner should precede a broad territory rule. Referrals may need relationship ownership despite incomplete geography. Write precedence and include an exception queue. Silent fallback creates unowned leads.

Test automation

Use ordinary records, duplicates, missing territory, multiple interests, and existing accounts. Record expected and actual owner. Version changes with approver, effective date, and rollback path. Review lead routing rules by source with one record from each active acquisition path. Check source attribution, territory or segment conditions, destination queue, and fallback owner from the raw record through task creation.

Send an intentionally incomplete sample through the rule in a safe test path. Fix the mapping when ownership is ambiguous, and document the exception so the next operator can diagnose it without inventing a customer attribute.
