Define segments from behavior you can observe
Use attended live, attended replay, registered but did not attend, and asked a question or requested a demo. These are observable and easy to explain. Avoid inferred intent labels that the team cannot defend.
Record the source of each segment and the time window. A replay view three weeks later is different from a live attendance.
Give each segment one next step
Live attendees get the recording, the slides, and a specific next step. Replay viewers get the recording and a summary. Non-attendees get a short recap and one invitation. The goal is relevance, not more email.
Do not send the same "thanks for attending" message to people who did not attend. It damages trust and inflates unsubscribes.
Respect consent and preferences
Send only to people who agreed to marketing messages. Keep the webinar registration terms separate from the newsletter opt-in if the business uses separate consent. Honor opt-outs immediately.
If a partner provided the list, confirm that the partner has the right to share it and that the recipients expect to hear from the business.
Measure the follow-up, not just the event
Track clicks to the next step, replies, and meetings booked. Compare by segment and message. Do not judge the webinar by attendance alone if the goal was pipeline.
Record the results with the campaign so the next webinar can reuse the structure that worked.
