A segment is a decision about relevance. It should explain who is included, why the message matters to them, and when the rule should be reviewed.
Start with a behavior or need
Choose one meaningful distinction, such as a requested topic, lifecycle stage, or recent action. Avoid combining every available field. Complex rules become difficult to explain and easy to break.
Define inclusion and exclusion
Write the rule in plain language before building it. Name the source fields, time window, consent requirement, and exclusions. Test boundary cases so an empty or stale field does not create an accidental audience.
Connect segment to message
The email should provide a reason the segment exists. If the same message fits every segment, use a broader audience and keep the operation simpler. Use the email campaign QA gate before release.
Review the rule
Record audience size, last refresh, owner, and planned review date. Retire segments with no active use. A small library of understandable segments is more valuable than a large collection no one trusts.
